Power BI is a Microsoft tool for analyzing data and creating interactive reports and dashboards. It lets you connect to different data sources, clean and transform the data, and then visualize it in a way that’s easy to understand. It has a few main parts, like Power BI Desktop for building reports and Power BI Service for sharing them with others.

You can connect it to things like Excel, SQL, or cloud systems, and use simple drag-and-drop visuals to present your data.

The Power BI Service lets you create and share interactive dashboards and reports in the cloud. Its main features include:

  • real-time data monitoring,
  • automatic data refresh,
  • easy sharing through workspaces and apps,
  • and integration with tools like Excel, Teams, and Azure

It also offers built-in security (like row-level access) and AI features such as Copilot for quick insights and summaries.

Power BI Service supports data governance and compliance by giving organizations full control over how data is accessed, used, and protected.

You can manage access with role-based security, protect sensitive data with labels, encryption, and DLP policies, and track activity through audit logs and monitoring. It also helps keep data consistent with features like certified datasets and data lineage.

Everything is managed centrally, which makes it easier to enforce policies and meet compliance requirements like GDPR.

Power BI Desktop is basically a tool you use on your computer to build reports and prepare data before sharing it with others.

You connect to your data (e.g. Excel, databases, cloud apps), clean and shape it in Power Query, and then create a data model with calculations using DAX. After that, you build visual reports with charts and dashboards.

When everything is ready, you publish it to the Power BI Service so others can view and use it online.

The difference between Power BI Desktop and Power BI Service comes down to their role in the workflow.

Power BI Desktop is where you actually create things – you connect to data, prepare it, and build reports. It’s a local tool used mainly by analysts.

Power BI Service is where those reports go next – it’s used to share them, manage access, collaborate with others, and keep data up to date in the cloud.

Simply put: Desktop is for building, Service is for sharing and using

Power Query in Power BI is an ETL tool (Extract, Transform, Load) used to prepare data before building reports.

It’s basically the part of Power BI where you take raw data from different sources and turn it into a clean, structured dataset. You can remove errors, filter data, combine tables, or change formats all in a visual, step-by-step way.

Behind the scenes, Power Query records each transformation, so the process can be repeated automatically whenever the data is refreshed.

DAX in Power BI is a formula language used to create calculations and analyze data within a data model. It’s similar to Excel formulas, but more advanced – it works on entire tables and reacts to filters and user interactions in reports. You can use it to create measures, calculated columns, and custom metrics that update dynamically.
